Journal Inquiry (GLI620)
Use the Journal Inquiry program to view journal entries from the journal file. The entries displayed are for the current or next GL period and any prior period entry provided that it not yet been updated by the Prior Period Update. Journals in the history file are available for inquiry through the Yearly Journal Inquiry.
All journal entry information originally field is displayed, along with running credit and debit entry totals.
Access this program by choosing General Ledger-->Inquiries-->Journal Inquiry.
Use the following fields to display journal information:
1. Period
Enter the period in which the journal entry was entered. Entry of a valid period displays the period’s ending date. Press Enter (CR) to default to the current period.
2. Journal
Enter the journal number in which the journal entry was entered. The journal entered must be a valid journal number. Entry of a valid journal displays its description.
3. Entry
Enter the entry number (0-998). Press Enter (CR) to default to the first entry number for this journal and period.
4. Summarize by Acct #
Indicate how to present transactions in the browser: When the Summarize by Acct # checkbox is unchecked, the lines display as they posted to the GL. If the journal transaction is posted when all postings are in detail or were previously posted in detail, this may include many individual transactions to any single GL account. When this field is checked, the transactions are summarized and presented as a single line for each account.
3. Show Entries For
Select which type of entries you want to display in the line browser. You can select form A-All Entries, D-This Document Only, or G-This GL Account Only.
After the initial journal entry is displayed, you can:
Press Source Doc to display the source document that created the highlighted GL transaction. Details for the source of the drill back information that is displayed are as follows:
- If the transaction came from the AR Sales Register (ARSRG), the AR Customer Inquiry Open Docs or Paid Docs History view is opened to display the invoice.
- If the transaction came from the Cash Receipts & Adj Register (ARCRR), the AR Customer Inquiry Check History view is opened to display the check.
- If the transaction came from the Doc Entry & Adj Register (APDR), the Vendor Inquiry Open Docs or Paid Docs view is opened to display the document.
- If the transaction came from the AP Payment Register (APCRG), the Vendor Inquiry Check History view is opened to display the check.
- If the transaction came from the Daily Sales Register (SODSR), the SO Document Inquiry Past Invoice view is opened to display the past invoice.
- If the transaction came from the Receipt Register (PORR), the PO Document Inquiry Receipts view is opened to display the past PO.
- If the transaction came from the Shipment Register (ICSGR), the Transfer Document Inquiry Shipments view is opened to display the ticket.
- If the transaction came from the Receiving Register (ICRGR), the Transfer Document Inquiry Shipments view is opened to display the ticket.
- If the transaction came from the Bank Transaction Register (SMBTR) and the transaction is a deposit or non-bank transaction, the view detail from Bank Transaction Inquiry is opened to display the detail.
- If the transaction came from the Job Invoicing Register (ICJIR), the AR Customer Inquiry Open Docs or Paid Docs History view is opened to display the invoice.
- If the transaction came from the Cost Discrepancy Register (ICR610), the GL Summary information is displayed and includes the following line level information: document type, document number, Receipt / Invoice / Shipment number, Line Number, Component Line, Item and a flag indicating if the item is a Serial / Lot item.
Press the Done button to exit the program.
