Creating credit memos

Entering a credit memo is not unlike entering orders or invoices. However, the quantities appear and print as negative numbers and you enter returns codes to indicate why items are being returned.

  1. Click Sales Orders>Invoices>Credit Memo Entry.
  2. In the Doc/Cust field, specify the customer number.
  3. Specify this information.

Ship-to-The system displays the default ship-to code for the customer. Edit the ship-to code, if necessary.

(Optional) Invoice-The invoice number against which you are entering the credit memo.

Memo Date-The date the you created the credit memo.

Invoice Date-The date you invoiced the credit memo.

  1. The header is automatically created by the system.
  2. Specify the item and complete this information.

Exceptional Sales-Check to indicate that this line item should not be included usage for replenishment calculations.

Usage Date-For line items that should have their usage included in replenishment calculations, specify the date to use or press F1 to enter the system date.

Credit Usage Warehouse-Specify the warehouse to use to credit the usage for the item on the credit memo.

Whse-The system displays the warehouse selected on the sales order. You can modify this value as needed.

Unit Cost-The cost per 'each' of the item.

Quantity-The quantity of the item the customer is returning.

RC-The returns code for processing the return.

Price-The return price.

Extension-The price extension.

  1. Click Cancel to end line entry.
  2. You have these options.

To change quantity information by highlight a line item and click Edit. Refer to the Editing line items in entry programs topic for details.
To edit lines on the order highlight a line and click
Line Detail to make changes in the Line-item Detail Entry window.
To edit header information on the order, click
Header Detail to make changes in the Credit Memo header detailwindow.
Add or insert line items
above the highlighted line in the browser.

Delete a line item by highlighting it and clicking Delete.
Access Note Entry (SME710) for the credit memo header or line record specified in the program or for the item highlighted in line item browser.

  1. Click Done to access the footer screen.
  2. Complete or modify this information.

(Optional) Memo-a memo for the credit memo.

Ship-to-The ship-to code from the document header is displayed. You can modify this field.

Freight code-Options are Prepaid, Collect, Bill Later and A Prepay/Add.

In the Frt Method field, the Document Freight Method (Q/C) for this customer defaults from AR Customer Maintenance and is modifiable based on the Allow Method Change check box on the Invoicing tab of AR Customer Maintenance and is not a back order. Based on the setting, you can select from: Quoted Freight or Calculated Freight.

Unless the Freight Type is prepaid, specify or update freight and handling charges in the Freight $ field. Refer to the Entering Freight and Handling (Sales Orders) topic for details

Disc %-The discount percent (maximum of 100) or dollar discount (maximum equals merchandise total) of the merchandise total.  

Tax code -The tax code assigned to the customer’s ship to file.

Tax rate-If the Charge Tax flag in the Sales Orders Static Control F/M is not set to O-Override, you cannot override the tax code and this field is unavailable. Specify H-to use the high rate, L-to use the low rate, or X-to change tax status of this document to exempt.

Other-Use this field to apply this credit to a customer’s credit card or issue the credit with other cash type payment methods.

Cash Terms-Use this field to issue a cash credit to the customer. Specify the cash amount due to the customer. If the amount you enter is not the full amount on the credit memo, the remainder credits the customer’s AR account, if they have one.

A/R Terms-This defaults to the terms code entered in the CM Terms Code setting on the Inventory tab of the SO Static Control F/M.

  1. (Optional) Click Payments if you need to place a deposit on the order or enter a payment. The Deposit/Payment Entry window can also be accessed from the footer.
  2. Click OK.
  3. Check Print Credit Memo now to print the credit memo when you complete the footer. If you choose to print the now, select a printer in the dialog box.
  4. (Optional) Check the Sort by Shipping Whse check box to print credit memos in groups by shipping warehouse.
  5. Click OK.
  6. Click Done.
