Proposals, Contracts and Service Orders

Service proposals and contracts administer rules for equipment, customer, rates, preventative maintenance and meters so customers are assured of accurate and consistent service. The Service and Repair module includes a built-in feature that prevents a piece of equipment from being covered by multiple service contracts.

Service proposals are an optional feature of the Service and Repair module. Proposals are service quotes sent to customers for their approval. Once the customer approves of the proposal, it can be imported into a service contract or a new contract can be created during contract entry. The proposals and contracts can be set up with special terms, repair parts, preventative maintenance, meter information, labor codes and billing information.

Proposals and contracts are identical in content, except contracts are authorized, they effect service billing and trigger preventative maintenance events. The service contract provides the details of which pieces of equipment can be serviced for each customer.

Service orders are requests for service. Service orders can be entered after the contract is approved or on-the-fly (i.e., prior to having a proposal and/or contract on file for a customer). The ability to enter service orders on-the-fly allows you to provide immediate service to the customer. The service order provides the details of the actual service request. The service request can be a routine service (such as a meter reading), a preventative maintenance, or equipment repair. Up to 999 service or sale items can be entered on a Service Order.
