CRS Control F/M (SOF890)

The CRS Control F/M provides you with static and non-static controls for the Customer Return Subsystem. The static controls are flags and default entries that affect certain fields in CRS Entry and Authorization print. The flags you set in this F/M should reflect your company’s return policy.

FACTS updates the non-static data on a continual basis.

Field Descriptions

Use the following fields to create static and non-static controls for the Customer Return Subsystem.

General Tab

1. Require Past Invoice

Customer Returns Entry includes a field in which you can tie a line item to an invoice number so that you can verify that the merchandise was actually purchased from your company. This flag lets you determine whether or not a past invoice number is required for customer returns, and it can help reinforce your company’s policy on returns without receipts. From the pick-list, select N - Do not require a past invoice, Y- Require a past invoice or P - Require a password if no invoice.

2. Allow Temporary Items

If company policy states temporary items are non-returnable, set this flag to N - Do not allow temporary item returns; if it’s up to a manager’s discretion, set this flag to P - Require password for temporary item return. Otherwise, set the flag to Y - Allow temporary item returns.

3. Credit Denial Override

If this flag is set to Y, you can override the system if it denies a credit. Set this flag to N if you don’t want credit denials overridden.

4. Restocking Fee Item #

In FACTS, a "Restocking Fee" item should be created in Item F/M (Inventory Control). The item number assigned to that item should be entered at this field.

5. Repair Item #

In FACTS, a "Repair " item should be created in Item F/M (Inventory Control). Enter the corresponding item number at this field.

Auto Create Docs During

In the Auto Create Docs During section, complete this information.

6. PO Receipt Register

Indicate whether to create credit memos and sales orders, when applicable, during receipt register.

7. AP Entry Register

Indicate whether to create credit memos and sales orders, when applicable, during entry register.

Use

In the Use section, complete this information.

8. Returns History

In Customer Returns Entry, you can review other returns made by the customer entered on the document. This can be a helpful customer service tool, enabling you to look up other returns if a customer has a question. Returns History can also be a helpful management tool in by allowing you to review the nature and number of this customer’s past returns.

9. Authorization

Set this flag to Yes to use the authorization print in FACTS. This enables you to print authorization documents for returns that have been pre-approved. The documents can also be used as return packing slips.

10. Acknowledgment

Set this flag to Yes to use the acknowledgment print in FACTS. This enables you to print a document that can be used as a receipt of the returned goods that can be given or sent to your customers.

Default

In the Default section, complete this information.

11. Reason Code

If the majority of customer returns use a particular reason code, use this field to set that code as the default in the line-item section of Customer Return Entry.

12. Restocking Fee

Restocking fees can be assigned to items to cover the cost of returning them to inventory (labor, time, etc.). Enter the amount of the default restocking fee here so it appears in the Customer Return Entry program.

13. Wait for Vendor Action/Repair

Specify the default value when shipping a replacement back to the customer when the returned item is being sent back to a vendor. This is the default when a new customer return is created. You can select from: N – Ship back to customer now or Y – Don’t ship back to customer till replace/credit/repair.

14. Allowance Returns Code

Specify the default allowance return code to use when a CRS doc has a return code with 'type' "R" but the second credit memo (created due to 'waiting for vendor action') is created and that second credit memo must be of 'type' "A.

Forms Tab

1. CRS Password

If the system is setup to require a password to override past invoices and allow nonstocked items to be returned, enter no more than six characters in this field. For greater security, use an alphanumeric mix.

2. Last Return Document #

This is non-static data, which FACTS automatically updates. This data cannot be edited.

3. Acknowledgment Form

The system can print acknowledgments on the Sales Order Invoice form. If invoices are set to use preprinted forms (check the SO Print Control F/M), CSR acknowledgments will print to these. If acknowledgements can’t be printed on Invoice forms (i.e., they use a different format), select N - Use non-preprinted CRS acknowledgement form from the pick list.

4. Acknowledgment Memo

You can use this static control to create a standard memo for all CRS acknowledgments . The memo can be changed on a document-by-document basis in Customer Return Entry. Maximum length is 30 characters.

5. Authorization Memo

You can use this static control to create a standard memo for all CRS authorization documents. The memo can be changed on a document-by-document basis in Customer Return Entry. Maximum length is 30 characters.

6. Wait Vendor Approval Memo

You can use this static control to create a standard credit memo for a CRS item waiting for vendor approval . The memo can be changed on a document-by-document basis in Customer Return Entry. Maximum length is 30 characters.
